How we use your information
Plain English, and only what we actually do. Last updated 4 November 2026.
Who we are
Impress Maintenance is a trading name of Impress Property Services Limited, registered in England and Wales, company number 10824083. Our registered office is 101 Galgate, Barnard Castle, County Durham, DL12 8ES, and we work from F14 Incubation Centre, Durham Way South, Newton Aycliffe, DL5 6XP.
We decide how the personal information described here is used, which makes us its controller. For anything on this page, email contact@impressmaintenance.co.uk or write to us at the Newton Aycliffe address.
When you send us an enquiry
If you use the form on our website, we receive your name, phone number, email, the site postcode if you give it, what needs doing and any photos you attach. We use it to reply, quote and carry out the work. The form is delivered to our office inbox by FormSubmit.
Our reason for using it is that you asked us to, and where you go on to book work, to carry out our agreement with you. We keep enquiries that don't become work for 12 months, and customer records for six years after the last job, which is what accounting and tax rules require.
If we have emailed you about our services
We email businesses that we think may need building maintenance. We use business contact details we find publicly, such as a company's own website, Companies House or a trade directory: a name, job role, organisation, work email address and town.
We only send these emails to limited companies, partnerships registered as companies and public bodies. Our reason is our legitimate interest in offering our services to businesses near us, which we have weighed against your interests and written down. Every email says who we are and has an unsubscribe link.
If you unsubscribe, reply asking us to stop, or an email bounces, we stop straight away. We keep your email address on a do not contact list so we never email you again. If we haven't heard from you, we delete your details 12 months after our last email.
If someone passed our page on to you
Our sales pages let a visitor send the page to someone they know. When they do, we use their name and email, your email and your first name if they gave it, to send you that one email from them, with replies going to them.
We don't add either of you to a mailing list and we don't keep either address. We keep a scrambled code made from your email address, which can't be turned back into it, so we can stop the same address being sent the page more than once a day and honour a request not to be sent it again. The links in the email let us count whether the page was opened, without knowing who opened it.
Who else handles it
We use a small number of providers to run our website and email: Vercel hosts the website, Supabase holds our outreach records in London, Resend sends our emails, FormSubmit delivers the enquiry form, and Microsoft 365 runs our office email. They only use your information to provide their service to us.
Some of these providers are based in the United States. Where information leaves the UK, it is protected by the UK and US data bridge or by standard contractual clauses. We never sell your information.
Cookies
Our public website doesn't set cookies or track you. Pages load their typefaces from Google Fonts, which means your browser asks Google's servers for them. Our private staff area uses one cookie to keep staff logged in.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it or delete it, or object to how we use it. You can always tell us to stop emailing you about our services, and we will.
Email contact@impressmaintenance.co.uk and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
